Advanced permissions for non-administrators

We have decided to give administrators the ability to grant non-admins access to administrator settings. Permissions are more flexible and no longer an all-or-nothing. For example, before today, only administrators could manage projects. If your team had multiple project managers and created projects frequently, you had to make these managers administrators so they could add and manage projects. This is no longer a limitation.

Now administrators can choose to grant the management rights of users, groups, holidays, leave, clients, projects, invoices, and expenses. This feature adds a ton of flexibility to WeWorked and makes it easier to configure permissions to the way your business works.

Administrators can go to Settings -> Permissions to see all the new permission options. Be sure to give us feedback on this update. We are always looking at ways to improve the way you use WeWorked.

Expense Tracking and Expense Reports

It is with excitement that I am writing to announce one of our most anticipated feature – expense tracking.  Yes, starting today, everyone receives a free 30-day trial of the new expense report feature.  Your team can easily report expenses for their projects. Stop using multiple applications. Capture everything in WeWorked.

Key features of the expense report feature:

– Upload photos of receipts
– Import expenses directly into invoices
– Flexible expense approval process
– 3 new reports specifically for expenses

We welcome your feedback on expense reports.  Like our other features, we will make constant improvements. The expense tracking update will be added to the WeWorked iPhone app shortly.  We are currently in development.

Load daily comments into invoices

You can now check to automatically load daily comments into your invoices.  No more copying and pasting for those that require more detail about how their time was spent.  Daily comments is applicable to the Detailed Line Items invoice. So when you select the Detailed Line Items invoice type, you will see the option to include daily comments.  Just check the box and your comments will be added to the description.

Turn on/off timesheet submission emails

We recently made it possible for users to notify someone when they submit a timesheet. Even though the feature was optional, quite a few users were bombarded with unwanted emails. You now have the option to turn on or off the option for user to notify a person when they submit a timesheet. Administrators can find this feature under Settings then Notifications. Enjoy!

A bundle of new features – daily approvals, submit notifications, new review section

We are proud to introduce a bundle of new features today.  All of these features are in response to feedback we have received from customers and visitors to the site. We hope everyone benefits in some way from one or more of these enhancements. We are definitely excited!

Daily, weekly, and semi-monthly approvals, submissions, and denials

Before today, all time in WeWorked was centered around a full week.  Now each day can stand alone or in combination with any other number of days. Submit, approve, and deny time daily, weekly, bi-weekly, and semi-monthly (1st through the 15th and 16th through the end of the month).  These actions can be taken on days of the same status (not-submitted, pending, and approved). For example, if the 1st and the 3rd are pending review, you can approve or deny time for the 1st and the 3rd at the same time.

Tip: In order to submit semi-monthly time, the first day of the week shown must be within the time period you wish to submit. For example, to submit the 15th through end of the month, the first day of the week displayed must be the 15th or greater and all the time through the end of the month must be the same status.

If you are taking action on more than week worth of time, such as semi-monthly or two weeks, you will be prompted with a full view of the time for that period so you can view it all together.

Notify reviewers when submitting time

You can now choose to send an email notification to your timesheet reviewer when submitting time for review.  Simply select one of your reviewers to notify and they will receive an email notification that time is pending their review.

Improved and more detailed review section
The new and improved timesheet review area now provides reviewers with a comprehensive view of users’ time. The area functions like the report section and allows time to be viewed in groupings of weekly, bi-weekly, and monthly.

iPhone app updated

We have submitted the updated iPhone app to the Apple store.  In about a week, you will be able to submit and deny time daily.  You will also be able to see the status of individual days of the week.  This update is in support of the above changes. We also fixed a few quirks.

New Feature: Add a new task to multiple projects

So you have tons of projects and realize that you now want your team to track a new task that applies to all of the projects. Before today you had to add this task to each project. We have simplified this process to one step.  Now when you create a task for a project you can choose to add the task to one or more other active projects. You can choose specific projects or select all of them with a single click.

Give it a try today!  Here is how easy it is to add a new task to multiple projects.

Enter a project and select Add Task.  Enter the task information and select Yes for Copy Task to Other Projects. Check all the projects you want to copy the task to then select Add Task.

More Custom Printing Options

In addition to the hiding comments and leave from a timesheet printout, you can now choose to hide all non-billable tasks. This works on the weekly and daily view of a timesheet.

While viewing a timesheet, click Print then check which items you wish to hide from the printer-friendly version of the timesheet.

New Feature: Leave Requests and Approvals

I am so happy to introduce Leave Approvals in WeWorked. WeWorked has always had the ability to track leave accruals and leave used, but for many that wasn’t enough. Many of our customers have been managing the act of requesting and approving leave outside of WeWorked. We decided it was time to bring that process inside the application. Here is how the new process works:

1. A user completes and submits a Leave Request.

2. An email is automatically sent to the approver for review. The request can either be approved or denied. Denied requests require a comment to explain the reasoning.

3. If approved, the initiator is notified by email that the request was approved. If denied, the initiator of the request is notified by email of the denial along with the reasoning.

4. Approved Leave Requests are listed on the applicable timesheet. This makes it easy to view the leave request that were approved for that period. Now approvers can easily see if a timesheet has any leave requests approved before approving the timesheet.

Leave Request History

WeWorked will keep a history of all the actions that occur to a Leave Request. Some of the actions logged are when the leave request was approved, when the leave request was denied, and who submitted the leave request and when.

Leave Request Report

A new report was added to support the new Leave Request functionality. The new Leave Request report gives a snapshot of Leave Requests that have been submitted and their current status. This will be good for forecasting resource levels.

Note: We have given all accounts free access to the Leave Request feature for 30 days. The Leave Requests feature is an additional paid feature. Those that find value in the add on should find the price well below the benefit gained.

New Feature: Adjust Leave Balances

Before today, setting default leave balances and making adjustments to leave balances was a somewhat difficult process. You had to complete and email us a template of the changes so we could make the update on the backend. It was a painful process for us, and I am sure the same for some of you.

Well this is no longer true. We have simplified setting default leave balances and adjusting leave balances. You now have complete control. You no longer need to complete a template or send us information. Just like leave accruals, manual changes to leave are capture in the leave history record. When you view the leave history you will see when the change was made and who made it.

Simply go to Settings then Leave then click on Adjust Leave Balances under the Leave Balances section. You will then see a list of all the people that have Track Leave enabled in their profile. Click Edit to start making changes to a person’s leave balance.

New Feature: Advanced Leave Policies

How it worked before
Leave accruals had to apply to all users and was based only on the hire date of a user. Accruals also had to occur weekly and were triggered by each weeks approval.

How it works now
Starting today leave policies are totally flexible. You can define a leave policy to accrue daily, weekly, monthly, or yearly. You can also apply a policy to a single person, multiple people, or all people. There is also a feature to limit the total amount a user may accrue. And for companies with carry-over limits, we introduced a feature for you to set the maximum number of hours that a person carry over into the new year. Accruals occur at midnight based on the timezone you set in your company profile.

All your previous leave policies are intact and unchanged. We migrated the assignments and defaulted the Max Accrual and Max Carry Over to 3000 hours.  Visit the leave section to make any adjustments.
