New Project: WeHireFreelancers.com

Anyone in the IT field knows that once people discover you are somewhat savvy with technology, you become the go-to person for all IT related questions. From website design to networking to hosting, you get bombarded with it all. The questions usually start out “Can you… or Do you know how to…” My typical response is “No, but I know someone that does.” This recurring dialog is what sparked our latest project.

Allow me to introduce WeHireFreelancers.com. WeHireFreelancers is a place where people can go post and find freelance jobs in digital, technology, and business. We launched the site on September 1st, which is Labor Day in the United States. The site is definitely in a pilot stage and, for now, totally free to post a job. We are not taking any commission from freelancers for earning new business (like some other popular sites). We believe that hirers and freelancers can workout their own details and payment arrangements.

New Feature: Task Timer

Today we introduce a task timer to help you keep track of the time you spend on individual tasks. You can start and stop the timer whenever you like. The timer will also add recorded time to the time you previously entered. All the math is done for you automatically. This is a great feature for freelancers and government contractors that need to record time down to the minute.

To use the timer, switch to the daily view screen.

Then click the timer icon beside the task you want the timer to keep track off. You must add the task to the timesheet before you can start using the timer. The timer will start automatically.

Once you finished working on the task, click Add Time to Task. Your changes are automatically saved and the new time is added to any existing time.

You must keep the timer screen window open for the timer to work. Just open another tab in your browser if you need to do other things.

New Feature: Time Format Entry

Quite a few people wanted to be able to enter time using what we call time format (1:35). So we added a feature that will allow you to enter time format (4:45) and WeWorked will automatically convert it to decimal format (4.75). This feature is only available on the web. We hope this makes it easier for you to complete your timesheet.

New Feature: Adjust Leave Balances

Before today, setting default leave balances and making adjustments to leave balances was a somewhat difficult process. You had to complete and email us a template of the changes so we could make the update on the backend. It was a painful process for us, and I am sure the same for some of you.

Well this is no longer true. We have simplified setting default leave balances and adjusting leave balances. You now have complete control. You no longer need to complete a template or send us information. Just like leave accruals, manual changes to leave are capture in the leave history record. When you view the leave history you will see when the change was made and who made it.

Simply go to Settings then Leave then click on Adjust Leave Balances under the Leave Balances section. You will then see a list of all the people that have Track Leave enabled in their profile. Click Edit to start making changes to a person’s leave balance.

New Feature: Change Date Formats

Starting today you can pick the date format of your choice. All the dates in WeWorked will display based on the setting you choose. This is a company-wide setting, so everyone on your account will see dates the same. Because we display dates in short and long format in WeWorked, we bundled the format selection so you can make them all have similar styles. And yes, the date formats you select will even display on the WeWorked for the iPhone, reports and invoices.

The date formats you saw before are the default. To make a change, go to Settings then click Edit in your company profile. You can change the date format setting near the bottom.

New Features: Daily View and New Report

Now you can view a single day at a time. As you are working and adjusting your time in WeWorked you can more easily stay focused on the current day. No need to see other days of the week. But of course you can switch back and forth between views. In addition to being able to add tasks and update time from the day view, you can also enter more detailed comments. These comments will relate to a specific time entry and task.

To make it easy to spot detailed comments, a small bar will appear under the time entry that has a detailed comment.

Note: You can add a new task in Daily View, but deleting tasks and approving or denying time is limited to the week view.

Switching to day view
There are two ways to switch to day view: 1) click on the date 2) click on the Day View link.

Returning to week view
Simply click Week View above your timesheet.

Entering comments in day view
Click Edit Detail, enter your comments, then click Save Details.

New Report
We are also introducing a new report that shows these detailed comments. The new report is named “Detailed Line Items with Daily Comments”. Enjoy!

New in WeWorked: VAT, Other Tax Types, and Attn field

Today we released a bunch of features that favor our international customers.

VAT and Tax Types
Many non-US customers have different types of taxes and other information that must be displayed on invoices. VAT is the most popular tax type we hear about from non-US customers. As a result, we are proud to introduce features that make creating invoices with VAT easier.

Now you can enter your company’s VAT number and also add VAT information for your clients. The information entered will be automatically copied to the notes section of your invoices when you create a new one. There is no longer a need to type in this information. For clients, go to Settings then Clients to add VAT information. For company VAT, go to Settings then Invoices to add company VAT information.

You can also select a different type of tax to include on invoices. Instead of the standard “Tax” description, you can change it to read VAT or GST on invoices. Contact us if you want more added.

New Invoice Field “Attn”
We added an Attn field to invoices. This will allow you to more easily direct your invoices to an individual or department.

As an added bonus to the new leave policies, leave history is now viewable. Now your team can see exactly how much leave they accrued, used, and on what date. Simply click the leave balance number to see the leave history for that type.

New Feature: Advanced Leave Policies

How it worked before
Leave accruals had to apply to all users and was based only on the hire date of a user. Accruals also had to occur weekly and were triggered by each weeks approval.

How it works now
Starting today leave policies are totally flexible. You can define a leave policy to accrue daily, weekly, monthly, or yearly. You can also apply a policy to a single person, multiple people, or all people. There is also a feature to limit the total amount a user may accrue. And for companies with carry-over limits, we introduced a feature for you to set the maximum number of hours that a person carry over into the new year. Accruals occur at midnight based on the timezone you set in your company profile.

All your previous leave policies are intact and unchanged. We migrated the assignments and defaulted the Max Accrual and Max Carry Over to 3000 hours.  Visit the leave section to make any adjustments.
