Choose your own start page

Today we rolled out a highly requested feature that allows you to choose where in WeWorked you are taken when you first login.  We refer to this feature as “choose your own start page”. The goal is to save you time by reducing clicks and taking you directly to what is important. If you are the finance person and mainly deal with invoices, you may find value in going straight to invoices area after login. Managers may choose to go immediately to reports. The choice is yours.  

Here are the places in WeWorked that you can go to after login, all limited by permissions:

  • Your timesheet
  • Review timesheets
  • Reports
  • Invoices

We may add more places if we find the need. Let us know if you would like to go to a screen not listed.

Changing your start page is easy. Simply edit your personal profile and choose your Default View.

Find projects and tasks quickly

We are constantly pushing out new features. However, most times the small enhancements make the most difference. Today we are proud to announce our quick-search feature. For companies with a lot of projects and tasks, you can now type in the name of the project and task to quickly find the item in the dropdown. We also added the enhanced dropdowns to the report area.

Comments New Feature

Enter daily comments from week view

Starting today you no longer have to switch to the week view to enter a daily comment.  Simply double click the field for the day that you want to add the comment and you will be prompted with a box to edit the comment.  This is a small but powerful update if you enter a lot of daily comments.  We expect this enhancement to save you a lot of time.  We are always working to make WeWorked better and easier to use.

New Notification: Submit Timesheet

We are introducing a new notification that will send either a text message or email to users reminding them to submit their timesheet. Administrators can configure the notification to go out weekly, bi-weekly, or semi-monthly.  The notification will go out the last day of the period. If your weeks are configured to end on the weekend, the notification will go out the Friday prior to the weekend.

Text messaging is something new we are trying. Text messages are faster and more in-your-face than email, so they tend to get a quicker response. Each member of your team will have to enter their mobile number under their profile before they can start receiving text message notifications. In some instances, users will get the option to submit time via text message if they have entered all their time for the period and have not submitted any days.

Hide Archived Tasks

We have now made it easier for you to view your tasks.  Because tasks are archived and never fully deleted, they were crowding the view of active tasks. Starting today archived tasks are hidden by default.  You can view archived tasks anytime by clicking “View Archived Tasks”.  We hope this small update makes a big improvement to how you manage your projects.

Introducing Budget Alerts

We have always captured high-level budget information at the project level.  But we never really did much with the data.  Well we have decided to capture additional budget information and make use of it all.  Starting today, in additional to project level budget information, you can now enter budget settings for tasks.

To make the most of this data, we are introducing Budget Alerts.  Budget Alerts send emails to people when a budget setting is exceeded or within a certain limit.  Budgets are checked daily at midnight, using your company’s timezone setting. Once triggered, an email will be sent weekly until the budget alert is removed.

There are four budget types:

  • Cost Per Task – This budget type uses the Budgeted Cost defined for each task to determine when to trigger a budget alert.
  • Hours Per Task – This budget type uses the Budgeted Hours defined for each task.
  • Total Project Cost – This budget type uses the Budgeted Cost defined in the Project Overview.
  • Total Project Hours – This budget type uses the Budgeted Hours defined in the Project Overview.

Note: You must be on trial or a paid plan to use Budget Alerts. Budget Alerts are sent at 11 p.m. EST.

Create Your First Budget Alert

Click Settings then Projects.  Click on the Project you want to have a budget.  Under the Budget Alert section, click Add Budget Alert. Complete the form then click Add Budget Alert.

New Feature: Customize Days of Week

WeWorked always required a set work week that started on Sunday and ran through Saturday. We believed that the majority of our customers followed a standard work week schedule. However, the time has come where our customer base has spread all over the world and has thus outgrown what is typical. And for this reason we are proud to announce that you can now customize your weeks to begin on any day of the week.

This feature was once reserved only for our Enterprise customers, but we felt even our smallest customers would benefit from the ability to change which day started the week.

Administrators can go to Settings then edit Company. You will see the option to change Start of Week near the bottom of the screen.

New Feature: Task Timer

Today we introduce a task timer to help you keep track of the time you spend on individual tasks. You can start and stop the timer whenever you like. The timer will also add recorded time to the time you previously entered. All the math is done for you automatically. This is a great feature for freelancers and government contractors that need to record time down to the minute.

To use the timer, switch to the daily view screen.

Then click the timer icon beside the task you want the timer to keep track off. You must add the task to the timesheet before you can start using the timer. The timer will start automatically.

Once you finished working on the task, click Add Time to Task. Your changes are automatically saved and the new time is added to any existing time.

You must keep the timer screen window open for the timer to work. Just open another tab in your browser if you need to do other things.
